1. Introduction

K.V.O. eCONNECT ("we", "us", "the app", "the platform") is a community management application built for the K.V.O. community, used to maintain family and member records, share announcements, manage a business directory, and support other community services. This Privacy Policy explains what information we collect from our members, how we use it, and the choices members have about their data.

By registering for or using K.V.O. eCONNECT (via the website or the mobile app), you agree to the collection and use of information as described in this policy.

2. Information We Collect

To provide community and family-record services, we collect the following categories of information from members and, where a family head registers dependants, from other family members:

Identity details: full name, gender, date of birth, marital status, relation within the family (e.g. Self, Father, Mother, Spouse, Son, Daughter).
Contact details: mobile number, email address, home and office address, native place.
Profile information: profile photo, blood group, education, occupation.
Family & community records: family grouping, head-of-family status, sibling/parent/spouse linkages used to build the family tree.
Life events: records such as births, deaths, and marriages that a family head or admin adds to keep community records up to date.
Business directory information (optional): business name, business type, address, contact numbers, description, and photos, for members who choose to list a business.
Payment / membership status: whether a member's community membership payment has been completed, and basic payment method details (e.g. cash or online), where applicable.
Account & usage data: login credentials (stored securely, never in plain text), session information, and records of changes submitted for admin approval.

We do not knowingly collect sensitive information beyond what is listed above (for example, we do not collect financial account numbers, government ID numbers, or precise location data).

3. Children's Information

Because K.V.O. eCONNECT records whole families, a family head may add minor children as members of their family record (for example, to keep an accurate family tree or record of dependants). This information is entered and controlled by the parent or family head, is visible only within the community's records, and is used solely for community and family-record purposes. It is never used for marketing directed at children, and is not knowingly made public outside the platform. Parents or guardians who wish to review, correct, or remove a minor's information can do so through the family head's account or by contacting an administrator (see Section 9).

4. How We Use Your Information

To create and maintain your family's record and the community's family tree.
To display the member directory, family listings, and (where opted in) the business directory to other verified community members.
To send community announcements, event updates, and important notices.
To let administrators review and approve changes to member, family, and business records.
To track community membership status (e.g. payment completion) where relevant to a member's participation.
To respond to support requests and resolve issues with the app or website.
To maintain the security and integrity of member accounts.

5. Who Can See Your Information

Member and family information is visible to other logged-in members of the K.V.O. community (for example, in the Families and Member Directory sections), and to community administrators who help maintain accurate records. We do not sell, rent, or share your personal information with outside companies for their own marketing purposes. Information may be shared with service providers who help us operate the platform (for example, hosting or database providers), solely to the extent needed to provide the service, and under obligations to keep it confidential.

6. Data Storage & Security

Member data is stored in a secured database accessible only to the application and its administrators. We apply reasonable technical and organizational measures — such as authenticated access, encrypted password storage, and role-based admin permissions — to protect your information from unauthorized access, alteration, or disclosure. No method of electronic storage is 100% secure, so while we work to protect your information, we cannot guarantee absolute security.

7. Data Retention

We retain member and family information for as long as your family's record remains part of the K.V.O. community, or as needed to fulfil the purposes described in this policy. If you would like your information removed, please contact an administrator (Section 9) — some historical family-tree data may be retained where it is needed to keep other members' family records accurate and complete.

8. Your Choices & Rights

You can view and request updates to your own profile information at any time.
Family heads can request updates to their family's records.
You can ask an administrator to review, correct, or delete information you believe is inaccurate.
You can opt out of appearing in the public-facing Business Directory at any time by asking an administrator to remove a listing.
